AI Instructions Guide - Part 2: Organization & Structure

Now that you understand how AI reads instructions and the power of examples, let's learn how to organize your prompts like a professional.

XML Tag Organization

Think of XML tags like the labeled drawers in a well-organized toolbox. Instead of dumping all your instructions in one big pile (which is like throwing all your tools in a messy heap), XML tags create separate, labeled compartments that help AI quickly find exactly what it needs.

Just like how you'd never mix your screwdrivers with your measuring tape, XML tags keep different types of instructions separate and easy to access. The AI can instantly locate "the tone instructions" or "the format requirements" instead of hunting through a wall of text.

Basic XML Structure

xml
<instruction>
Write a blog post about sustainable gardening
</instruction>

<tone>
Professional but approachable, like talking to a knowledgeable friend
</tone>

<format>
- Start with an engaging hook
- Use subheadings for each main point
- Include 3-5 actionable tips
- End with a call-to-action
</format>

<examples>
Good hook: "What if I told you that your vegetable scraps could become next season's garden gold?"
Good tip format: "Tip 1: Start small - Even a 4x4 foot plot can yield surprising results when managed sustainably."
</examples>

Essential XML Tags

Think of these like the most important rooms in your house - you'll use them constantly:

<role> - Setting the Character

This is like giving someone a costume and character backstory before a play:

xml
<role>
You are an experienced marketing consultant who specializes in small businesses
</role>

<context> - Setting the Scene

Like setting the scene in a movie - the AI needs to know what's happening around this task:

xml
<context>
This email is going to customers who bought our premium package but haven't used it yet
</context>

<constraints> - The Rules of the Game

Think of these as the rules of the game, like "no hands in soccer" or "stay within the lines when coloring":

xml
<constraints>
- Maximum 200 words
- Avoid technical jargon
- Include exactly one call-to-action button
</constraints>

<output_format> - The Template

This is like giving someone a template or form to fill out - they know exactly where everything goes:

xml
<output_format>
Title: [Compelling headline]
Subtitle: [Supporting detail]
Body: [2-3 paragraphs]
CTA: [Action button text]
</output_format>

Advanced XML Tips

For complex instructions, you can nest XML tags like Russian dolls - boxes within boxes, each containing more specific information:

xml
<email_campaign>
  <audience>
    <primary>Small business owners</primary>
    <secondary>Freelancers and consultants</secondary>
  </audience>

  <messaging>
    <pain_point>Struggling with time management</pain_point>
    <solution>Our productivity app</solution>
    <benefit>Save 2+ hours per day</benefit>
  </messaging>

  <content_requirements>
    <subject_line>Under 50 characters, question format</subject_line>
    <body>3 paragraphs maximum, conversational tone</body>
    <cta>Single button, action-oriented text</cta>
  </content_requirements>
</email_campaign>

Markdown for Structure

Markdown is like the formatting tools in Microsoft Word, but much simpler. Think of it as a way to make your instructions as easy to scan as a well-designed restaurant menu - headers for sections, bullet points for options, and emphasis for the daily specials.

Headers & Hierarchy

Just like a book has chapters, sections, and subsections, headers organize your instructions into bite-sized, logical chunks:

markdown
# Main Topic (like the book title)
## Subtopic (like a chapter)
### Specific Detail (like a section within a chapter)

Think of headers as signposts on a highway - they help AI navigate through your instructions and understand what's most important.

Lists & Requirements

Lists are like a shopping list for your AI - clear, scannable, and impossible to misunderstand.

Bullet points for options or features (like a restaurant menu):

markdown
The tone should be:
- Professional but friendly
- Confident without being arrogant
- Helpful and solution-focused

Numbered lists for steps or priorities (like assembly instructions from IKEA):

markdown
Follow this process:
1. Analyze the customer's specific problem
2. Identify the most relevant solution
3. Explain benefits in their terms
4. Provide clear next steps

Code Blocks

Code blocks are like giving someone a exact template or stencil to trace. When you absolutely need something formatted exactly a certain way, code blocks ensure the AI follows it perfectly:

Use this exact email signature format:
[Name] [Title] | [Company]
📧 [email] | 📱 [phone] | 🌐 [website]

Text Emphasis

Bold is like highlighting with a bright yellow marker - it makes critical information impossible to miss. Italics are like a gentle nudge or whisper - they add subtle emphasis without shouting.

markdown
**Required:** Include pricing in every product description
*Preferred:* Use emotional language that connects with customer pain points

Pro Template

Here's a template that combines all these techniques:

xml
<instruction>
# Task: [Clear, specific description of what you want]

## Context
<context>
[Background information the AI needs to know]
</context>

## Role & Tone
<role>You are a [specific expert role]</role>
<tone>[Detailed tone description with examples]</tone>

## Requirements
<constraints>
- [Specific requirement 1]
- [Specific requirement 2]
- [Specific requirement 3]
</constraints>

## Format
<output_format>
[Exact structure you want, with examples]
</output_format>

## Examples
<examples>
**Good example:**
[Show exactly what success looks like]

**Avoid:**
[Show what you don't want]
</examples>
</instruction>
